A no-show is a slot you can no longer sell. When to send the reminder, what to say and how to make rescheduling easy on WhatsApp.
Tuesday, eleven in the morning. The chair is ready, your coffee half drunk, and the client does not show up. No message, no answer. That slot cannot be filled any more.
No-shows hurt more than cancellations because they leave you no time to react. And they are rarely ill-intentioned: people forget, something comes up, or they feel awkward messaging to cancel. A good reminder tackles all three.
Why appointments fail
Talk to your clients and the reasons repeat themselves:
- They forgot. They booked three weeks ago and it slipped their mind.
- Something came up and they did not find the moment to tell you.
- They felt awkward cancelling. Writing “I can’t make it” is harder than simply not going.
A reminder fixes the first one. For the other two, what matters is that changing or cancelling is easy and painless.
When to send it
There is no universal rule, but there is a sensible starting point:
- 24 hours before, so anyone who cannot come has time to tell you and you have time to refill the slot.
- A second nudge a few hours before only for long or expensive appointments, like full colour or a laser session, where an empty slot costs more.
For bookings made the same day or the day before, one message is enough. And avoid sending them in the middle of the night: schedule reminders within reasonable hours.
What to say
A reminder that works is short and makes the next step obvious. For a hair salon, for example:
Hi Hannah 💛 Just a reminder of your highlights with Claire tomorrow, Friday, at 16:00. Can you confirm? If you can’t make it, reply and we’ll find you another time.
Three details matter:
- Name, day, time and service, so they do not have to look anything up.
- Who with, if you have several staff. It feels like a commitment to a person.
- An easy way out to move the booking. A change with a day’s notice beats an empty chair.
A barbershop can be more direct (“Tomorrow at 17:30, cut + beard with Mark. See you then?”). A beauty salon can add useful instructions: no cream on the laser area, or arrive five minutes early for a first session.
Make changes easy
Reminders work better when replying is effortless. Ideally, clients confirm with one word or button, get offered another time in the same chat without calling, and the freed slot goes back into your diary straight away so someone else can take it. Done by hand, this means watching your phone all day. Automated, the client replies, the system offers free slots and your diary updates itself.
Deposits and cancellation policies
For long services, many businesses ask for a small deposit when booking or have a clear cancellation policy. It does not need to be strict, just transparent: if the policy is written down and mentioned in the reminder, clients are more likely to tell you in time. The deposit can be requested with a payment link in the WhatsApp chat itself.
What to know about WhatsApp and data
- WhatsApp has rules. When the business messages first, as with a reminder, the WhatsApp Business Platform requires message templates approved by Meta. It is not complicated, but the wording deserves some care. Some of those messages also carry a per-message cost.
- Data protection. Your clients’ phone numbers are personal data. The cleanest approach is to tell them when they book that you will message them on WhatsApp, and keep only what the appointment needs.
How to know it works
Measure, as with any change. Before you start, note for a few weeks how many appointments fail without notice. After switching reminders on, keep noting it and compare. Also count changes that arrive in time: a change with notice is not a failure, it is a slot you can still fill.
